About the client
The client helps travellers send passport and visa applications safely to processing centres. We can't name them because the work is covered by an NDA.
What needed fixing
Sending a passport or visa application involves several steps: booking a courier, printing a label and getting a photo that meets strict rules. A photo that doesn't meet them can hold up the application.
The business also handles passports and personal details, so it needed to keep only what it must, for only as long as it must.
The system, piece by piece
Online booking
Customers book their document shipment online, choose the service and pay by card.
Address checks and shipping labels
Addresses are validated and shipping labels are created automatically through the courier's API, with tracking numbers saved to each booking.
AI passport and visa photos
Customers upload a photo. The browser checks for a face before upload, then the photo service removes the background with an AI model and checks the face position before producing the final photo.
Admin panel
Staff manage bookings, payments, labels and statuses from one admin panel.
Where AI is used
- Background removal with an AI portrait-segmentation model, so any photo taken at home gets a clean, plain background.
- Face detection in the browser before upload and again on the server, to catch unusable photos early.
Privacy by design
- Customers' names, phone numbers, email addresses and pickup addresses are deleted automatically 31 days after booking.
- Only what's needed for operations and records is kept, such as reference, tracking and payment numbers.
- Payments are handled by the payment provider, not stored by the platform.
What changed
- Booking, payment, labels and tracking handled online in one flow instead of several separate steps.
- Passport and visa photos produced from a customer's own photo, with problems caught before submission.
- Personal data removed automatically after 31 days without anyone having to remember.
When you handle people's passports, the best feature is often what you delete. Privacy rules were built into the product, not added later.
